USCIS RFE Tracker Template: From Receipt to Submission

Most RFE responses do not fail on the legal argument. They fail on logistics: an item nobody chased, a document that arrived the day before, a package that went out without one exhibit. An RFE tracker turns the notice into a list of items, each with an owner and a date, so the attorney's time goes into the argument instead of the hunt.

An RFE tracker template turns each request for evidence into a dated list: the deadline the attorney confirms, every requested item with an owner and due date, client follow-ups, review dates, and the submission with proof of delivery. Partial responses are treated as requests for a decision, so nothing ships until every item is in.

Key takeaways

  • Break every RFE into individual items, each with an owner.
  • Use the deadline on the notice; do not assume 12 weeks.
  • Client items get early due dates and fixed follow-ups.
  • Nothing is sent until every item is in; partial responses are decided as filed.
  • Log the submission and proof of delivery.

Our page on RFE response deadlines answers the timing question, and it became one of our most-read pages in 2026. This is its practical companion: the tracker itself. It pairs with our NOID system and with the RFE surge response for firms handling many at once.

Why use an RFE tracker template?

Because an RFE is really a list of small jobs with a hard end date, and lists are easy to lose in an email thread. The notice may ask for six things: two from the employer, three from the client, one the firm prepares. Each has a different owner and a different speed. A tracker makes the slow ones visible on day two instead of day sixty, and gives the attorney a one-line answer to "where are we on this RFE?"

How should RFEs move across a board?

Through a few plain stages: logged, plan set by the attorney, collecting items, drafting, attorney review, ready to send, submitted. The board answers the question that matters most in a busy month: which RFEs are still collecting items with less than half their time left? Those go to the top of the weekly review and, if needed, to the attorney for a call to the client or employer.

Which 2026 rules does the tracker build in?

Two. First, the deadline field comes from the notice, never from habit. Under 8 CFR 103.2(b)(8)(iv), twelve weeks is the maximum for an RFE, not the default, and USCIS Policy Alert PA-2026-05, as summarized by Envoy, says officers are not required to use the standard twelve-week period and ended the extra fourteen days for notices mailed abroad. Second, the "ready to send" stage requires every item to be received and checked, because a partial response is treated as a request for a decision. A tracker that enforces both rules removes two of the most common ways a good RFE response still fails.

Where we stand FirmFooting builds operational systems. We are not a law firm and do not give legal advice. Immigration requirements, fees, form editions and processing times change often; the attorney confirms every requirement, date and fee against current official instructions before relying on it. Systems capture, track and escalate; the attorney owns the law, every judgment and the official docket. Each system supplements, never replaces, the firm's official docketing obligations, which remain the attorney's professional responsibility. Trackers hold metadata only, never privileged content or client documents. Nothing here is legal advice.

Frequently asked questions

What should an RFE tracker include?

The notice date and service method, the deadline the attorney confirms, one row per requested item with an owner and due date, follow-ups, drafting and review dates, and the submission with proof of delivery.

Is an RFE response always due in 12 weeks?

No. Twelve weeks is the regulatory maximum. The notice sets the period, and 2026 USCIS policy says officers may set shorter ones.

Can you send part of an RFE response first?

It is risky: USCIS treats a partial response as a request for a decision on the record. Send everything together.

Who sets the RFE response deadline in the tracker?

The attorney, from the notice. Staff record it and build the work-back.
